How to use My CoC
Use this guide to check registered certificates, complete contractor work, manage claims, oversee a trade, or run the platform.

Staff areas require an account and two-step verification. Public property and certificate checks do not require an account.
- 1Choose Sign in from the area you need, then enter your email and password or continue with Google.
- 2The first time you sign in, scan the setup image with an authenticator app and enter its six-digit code.
- 3On later visits, enter the newest six-digit code from the authenticator app.
- 4Your role sends you to the contractor, insurer, authority or control-room area. Ask your organisation manager for an invite code if your area is not available.
Keep the authenticator app on a device you control. Every staff role requires two-step verification.
Public property and certificate checks
A check shows what is registered in the system. It does not confirm that an installation is safe.
Check a property
- 1Open Check a property and type at least three characters from the street address or erf number.
- 2Choose the matching property from the suggestions or submit the full search.
- 3Read the status for electrical, plumbing, gas and electric fence records. A result may be on file, need a new certificate for a sale, be voided, or have nothing on file.
Check a certificate
- 1Open Check a certificate.
- 2Scan the printed QR code, paste its verification link, or enter the certificate number.
- 3Compare the trade, masked number, issue date and location with the document in front of you.
- 4Use Report a suspected fake if the details do not match or the check fails.
Contractor work
Contractors manage registrations, serial numbers, certificates, projects, clients, staff and reports in one place.
Set up the company
- 1Open Overview and complete the company details if they have not been set up.
- 2Open Registrations, choose a trade, enter the registration details and upload the supporting document.
- 3Wait for the registration to be verified. Only an active, verified registration for the correct trade can issue a certificate.
- 4Open Serial numbers to see numbers allocated by the authority. My CoC never invents certificate serial numbers.
Issue one certificate
- 1Open New certificate and choose the trade, property and client.
- 2Complete the trade form, readings, inspection details, location and required photos.
- 3The registered inspector reviews the information and signs it.
- 4Issue the certificate. The system uses one available serial, creates the PDF and QR code, and keeps the audit history.
- 5From the certificate page, download or share it. If it is wrong, void it with a reason or replace it; never delete it.
Projects, jobs and staff
Projects let you prepare a master template, add units, capture each unit quickly, review warnings and batch-sign only tested units. Jobs organise upcoming and finished work. Clients keep property and certificate history together. Company owners can invite staff and control signing rights from Staff.
Quotes, invoices and payments
Contractors can prepare client documents with their own branding and follow the money from quote to final payment.
- 1Open Business details and add the trading name, address, contact information, bank details, payment terms and optional VAT number.
- 2Build the Price list with work you use often.
- 3Open Quotes and invoices, choose Make a quote or Make an invoice, select saved items, add the client and check the totals.
- 4Save a draft while working. Once sent, the document is locked; void it with a reason and make a new one if it must change.
- 5Send the PDF by WhatsApp, your email app or a secure share link. A client can accept or decline a quote from the link.
- 6Turn an accepted quote into an invoice, then record EFT, cash, card or other payments. Part payments and balances are shown automatically.
- 7Open Money for amounts still owed, overdue invoices, this month's receipts, open quotes and the downloadable report.
Direct email from inside My CoC remains unavailable until a sender address on a domain you own is configured. Share links and your device's email app work now.
Insurer portal
Insurer access is agreement-controlled. Every search needs a policy or claim reference and is logged.
- 1Enter the policy or claim reference before searching for an address, erf number or certificate.
- 2Review each trade's status, issue date, contractor registration at issue, and certificate timeline.
- 3For claim work, use a claim reference to request technical readings and photos. Each detail request is logged.
- 4Flag suspicious records, add properties to the watch list, or upload a portfolio CSV for a bulk report.
- 5Insurer admins can invite staff, manage access and create API keys. Copy a new API key immediately because it is only shown once.
Control room
The control room is for the My CoC team. What appears depends on the staff member's assigned role.
- 1Use Verification to review contractor registrations and supporting documents.
- 2Use Contractors, Certificates and Flags to investigate activity without changing historical records.
- 3Use Rules to maintain fraud thresholds and trade validity settings. Certificate validity reads these settings rather than fixed dates in the app.
- 4Use Addresses to correct property details or merge duplicates. Related certificates, jobs and watch-list entries move to the retained address.
- 5Use Partners and Billing to manage authority or insurer access, contractor plans, usage invoices and EFT payments.
- 6Use POPIA to record requests, export a person's information and manage retention periods. Use Support to reply and close tickets.
- 7Super admins use Team to assign support, fraud, finance or super-admin roles. View as user is read-only, requires a reason and is logged.
Working offline
The contractor area can keep field work moving when the connection drops.
- 1Open the contractor area while online first so the app and current work can be stored on the device.
- 2Create and save certificate drafts as usual. Photos and draft information remain on that device while offline.
- 3Check the sync status in the top bar. Queued work sends in order when the connection returns.
- 4Do not clear browser data, uninstall the app or switch devices before queued work has synced.
- 5Confirm the issued certificate and serial number appear after syncing. A failed item stays in the queue for review rather than disappearing.
Privacy, support and safe operation
My CoC limits public information and keeps permanent records of sensitive actions.
- Privacy requests: use Privacy and your information to submit or track a POPIA request.
- Support: use Contact support. Replies are stored in My CoC; direct reply emails await sender-domain setup.
- Backups: the owner should back up the database and private certificate files every night and test recovery regularly.
- Security: remove staff access promptly, never share passwords or authenticator codes, keep API keys private, and investigate unexpected audit entries.
